FAQ's


How will I be notified of my employee's leave requests?

Leave requests from your employees will be sent to you electronically. Confirm that the request is a FMLA request and not a sick leave request before approving. If the employee has multiple FMLA intermittent leave cases they must select the appropriate case number associated with the reason for the FMLA request.

What should I do if an employee has multiple FMLA Intermittent cases?

Please be mindful of the leave request as it pertains to the Case Identification number and the Designation Notice. You may need to review the FMLA designation notice for each FMLA Intermittent leave case to ensure the leave requested matches the approved FMLA leave parameters noted on the FMLA designation notice.

Will I receive the FMLA forms that my employee receives?

The tab below gives the ACT Case Manager the option to send appropriate FMLA forms to the employee's supervisor. The supervisor's email is automatically populated onto the tab.

What FMLA forms will I receive?

You will receive a copy of the following documents:

  • Notice of Eligibility Letter
  • Notice of Eligibility and Rights & Responsibilities form
  • Designation Notice.

How can I track my employee's FMLA leave using the ACT Balances Tab on their timesheet?


Click on ACT Balances.

The Usage By Leave Type table shows the past, current, and future use of FMLA. Hover your mouse on the blue and purple line. Your employee's FMLA case number(s) with actual and projected FMLA usage dates will appear.

The FMLA Allowance graph displays both actual and projected FMLA usage.

How can I determine if the employee is paid during FMLA?

Click on Results Tab

The results tab displays the LOA code and available paid leave and applicable holiday(s) used each day.

Click on the far right arrow

Uncheck the Work Date box

Unchecking this box will display the total amount of leave paid for each pay cycle.

What if FMLA is denied?


The ACT Case Manager will remove the LOA pay code. Available leave written to the timesheet will remain on the timesheet unless the ACT Case Manager is otherwise notified by the supervisor.


How will I know when FMLA will exhaust for my employee?

eSTAR will automatically send you an email:

1ST EMAIL NOTIFICATION
Smith, John has (or will have) 2 weeks or less FMLA time available as of * %WORK_DT%

2ND EMAIL NOTIFICATION
Smith, John has (or will have) exhausted FMLA time available as of *%WORK_DT%
